If you are located in North America, you will have slightly different buttons and terminology:
- Tenancies are referred to as Leases
- Terms & Breaks within a Tenancy is called Terms & Options
For the purpose of this article, we will refer to it as Tenancies, Terms & Breaks. For more information on regional terminology, refer to this article or contact support.
When a policy exists in Re-Leased, there are several actions that can be performed on that policy:
1. Edit policy details
2. Email a reminder about the policy to the Contact - Click here for more information
3. View an audit trail of changes to the policy record in Re-Leased
4. Archive the policy.
Viewing Policy Details
To view a summary of the policy, navigate to the Insurance policy list by opening the Tenancy record and clicking on the Insurance tab on the left hand side. This list view shows basic information including a visual guide around the expiry status of the policy. Expired policies will show under Insurance Status as red, Expiring soon (within 30 days) show as orange, and Active policies show as green.
Editing or renewing a policy
If a policy is expiring and will be renewed with the same policy number, we recommend using the Edit functionality to adjust the policy expiry date.
To edit a policy click the three dots icon directly on the Insurance list page, and select Edit.
The edit policy screen will appear, where;
1. All policy fields can be edited
2. Documents can be added, viewed or edited
3. Notes can be added or edited (only by the original user who added the note)
4. Delegation and reminder details can be updated
Please note: The policy number should be treated as a unique identifier - this should only be edited if a genuine mistake has been entered in this field.
View an Audit trail
To download an audit trail of changes made to the policy record in Re-Leased, click on the three dots, then Download audit trail. A pdf file will download to your computer.
Archive a policy
To archive a policy, click the three dots and then Archive. The policy will then be visible in the Archived Insurance tab on the Insurance list page.
An archived policy can be restored from the Archived Insurance tab by clicking three dots and then Restore. The policy will then return to the main Active Insurance tab.
