If an owner ledger is no longer in use, the ledger can be archived. When a ledger is archived, Re-Leased places an archived ledger in an inactive state. An archived ledger is searchable and can be restored if required.
An owner ledger can be archived if:
- The current balance is zero
- There are no uncleared funds
- There are no unpaid fees
- There are no active invoices or credit notes
- There is no rent for an active tenancy
- It's not related to a property (remove ledgers from a property before archiving)
Archive an Owner Ledger
To archive an owner ledger:
1. Click Trust Accounts
2. Click Rental Ledger Balance
3. In Search ledgers, enter a ledger name, then click Go, or
4. Click a Ledger
In the Ledger screen:
5. Click Edit Ledger
6. Click Archive
A confirmation screen will display. Please ensure any financial reports are generated and securely stored before continuing.
To archive the ledger:
7. Click Archive This Ledger
Restore an Owner Ledger
To restore an archived owner ledger:
1. Click Trust Accounts
2. Click Rental Ledger Balance
3. In Include Archived Ledgers?, click Yes
4. In Search ledgers, enter a ledger name, then click Go, or
5. Click a Ledger
6. Click Restore Ledger
A confirmation screen will display. Please ensure the described ledger is correct.
To archive the ledger:
7. Click Restore This Ledger
