Maintenance in Re-Leased is structured with a parent-level Maintenance Job (holding the high level details such as Related Property and Maintenance Type), and child-level Maintenance Tasks (which hold the detailed pieces of information specific to each Task such as the Due Date, the Budgeted Cost, related Work Orders, etc).
A Maintenance Job can have just one Task, such as in a reactive or urgent case; or it can have multiple recurring Tasks, such as in planned or preventative Maintenance.
The details associated with the Maintenance Job don't usually need editing, whereas the details on the Maintenance Task will more often need editing and updating. In Re-Leased you can edit both the Job and the Task, but its important to know at which level you're editing.
Editing a Maintenance Task
There are several place in Re-Leased you can use to access and edit the details of a Maintenance Task.
1. From the Dashboard
Click on the relevant Maintenance Reminder in the Dashboard. In the pop-up window click Edit Task.
2. From the Maintenance Hub
Find the Maintenance Task you're looking for using the filters or search, then click the Magnifying Glass icon, the Edit Task.
3. From the related Property or Tenancy
Navigate to the Tasks tab of the related Property or Tenancy. Find the Maintenance Task you're looking for using the filters or Search, then click on Edit Maintenance Task.
Editing the Task Details
Any of the above actions will take you to the Task Details page, where there are several things that can be viewed, added or updated:
- The due date of the Task
- The completed status of the task (toggle to Complete or Incomplete)
- Send a Quote Request for this task
- Create a Work Order for this Task
- View the details of any Quotes or Work Orders associated to the Task
- If the task is marked as Complete, update the date and cost
- Add any Notes about the Task
- Details of any Keys associated to the Task will display here
- Add or view any uploaded Documents associated to the Task
- Add or view any uploaded Images or Videos associated to the Task
Click Save to confirm any changes.
Editing a Maintenance Job
You may want to edit a Maintenance Job to change the Related Property the Job relates to. Or maybe you would like to update the frequency of the recurring Tasks from Monthly to Quarterly. You can do this in several places in Re-Leased.
1. From the Dashboard
Click on a Maintenance Reminder in the Dashboard, and in the pop-up window click View Maintenance Job on the right hand side.
Click on the Maintenance Job Details tab on the left hand side to edit the details.
2. From the Maintenance Hub
Find the Maintenance Job you're looking for using the filters or Search, then click on the Title of the Maintenance Job.
Click on the Maintenance Job Details tab on the left hand side to edit the details.
3. From the related Property or Tenancy
Navigate to the Tasks tab of the related Property or Tenancy. Find the Maintenance Job you're looking for using the filters or Search, then click on Edit Maintenance Job.
Click on the Maintenance Job Details tab on the left hand side to edit the details.
