Fixflo is only integrated into Re-Leased by the following two areas:
1. Properties (called Units in Fixflo)
2. Maintenance (called issues in Fixflo)
It's important to note that it doesn't sync over any information relating to Areas or Tenancies. Any maintenance task that syncs from or to either platform is at a property/unit level only.
Re-Leased can be integrated with your Fixflo site so your maintenance issues can be pushed back into Re-Leased. This allows you to keep a complete maintenance record with your tenancies and produce more accurate reports.
Before you set up your connection to Fixflo, you will need to find the Domain and Token for your Fixflo site.
Log in to your Fixflo site, click on your username and select My Profile
Select Profile across the top of the screen, and at the bottom of the screen, click on Authentication tokens.
Enter released in the App Id* field and click Add.
Please note this is case sensitive and does not accept other characters so this must be written as released. Re-Leased will cause an error message. If successful, an Authentication token will then be generated for you.
The Agency custom domain and the RELEASED token will need to be copied and pasted into Re-Leased, as explained below.
To set up your connection to Fixflo, login to Re-Leased and go to Settings > Manage Add-ons and Integrations > Fixflo.
Click Enable under the Fixflo icon
Click Enable Fixflo.
Credentials
Once the add-on is enabled, you will be asked for the credentials for your Fixflo site.
- Paste the value from the Agency Custom Domain field in Fixflo to the Domain field in Re-Leased.
- Using the Copy button in Fixflo, Copy and Paste the authentication token generated for RELEASED into the Token field in Re-Leased.
Fixflo Manager
You will need to select a user who will manage your Fixflo integration. If there are any issues during the maintenance sync to Re-Leased, the Fixflo Manager will be notified via email so they can resolve them.
If the Notify Manager When Maintenance is Created option is checked, an email will be sent to the Fixflo Manager.
Account Type
There are two types of subscriptions to Fixflo - Standard or Plus. It's important that you select the correct type for your connection as the behavior in Re-Leased is quite different for each account type:
- Standard - Fixflo is generally used as a platform to log issues only, so Re-Leased will be used to process all maintenance tasks. Maintenance tasks created in Fixflo Standard are completely editable in Re-Leased.
- Plus - An extensive maintenance workflow is offered in Fixflo for Plus users, so maintenance tasks will be recorded in Re-Leased for reference and reporting use only. Maintenance tasks created in Fixflo Plus are read-only in Re-Leased.
If you want to send an email notification to the Fixflo Manager whenever a new issue is pushed through to Re-Leased, check the Notify Manager When Maintenance is Created checkbox.
When a property sync is performed, the system will try to match any common properties between Re-Leased and Fixflo. Checking the Automatically Export Re-Leased Properties to Fixflo setting will export any properties from Re-Leased that don't currently exist in Fixflo.
Once all details are entered click Save.
Once the connection to Fixflo is established there will be several options available:
Disable Fixflo
This allows you to disconnect from your Fixflo site at any time. Any new issues reported in Fixflo will not be created in Re-Leased.
Update Fixflo Credentials
Click here to access the Fixflo Credentials page again to edit any of the information entered.
View/Hide History
This button will toggle the History section so you can see when the last sync was run and by who. Clicking Details will open a model listing all issues that were created or updated during that sync.
Sync Maintenance Issues
The sync between Fixflo and Re-Leased will occur on a regular basis, but you can start the sync manually at any time by clicking Sync Maintenance Issues. Only issues will be included in this sync.
Sync Properties
The property sync will try to match any new properties between Re-Leased and Fixflo. Only properties will be included in this sync.
Find and Match Properties
If there are any unmatched properties after running the property sync, you can match them manually using Find and Match Properties.
Unmatched Properties
Any properties from Fixflo that cannot be automatically matched to a Re-Leased property will be listed on the Unmatched tab. To manually make a match, click the ? icon or Find and Match.
A modal will open allowing you to search through all unmatched Re-Leased properties. You can filter the list by Property Manager or Property Type, or search for a property name or address. When you have located the matching property, select it and click Match Property. The property will then be listed on the Matched Properties tab.
If there is a property that has been incorrectly matched, simply click the green tick to unmatch, then click Find and Match to locate the correct property.
