When a policy exists in Re-Leased, there are several actions that can be performed on that policy:
1. View policy details
2. Edit policy details
3. Email a reminder about the policy to the Contact (see here for more detail on sending reminder emails)
4. View an audit trail of changes to the policy record in Re-Leased
5. Archive the policy.
Viewing Policy Details
To view a summary of the policy, navigate to the Insurance policy list by opening the Contact record and clicking on the Insurance tab on the left hand side. This list view shows basic information including a visual guide around the expiry status of the policy. Expired policies will show under Insurance Status as red, Expiring soon (within 30 days) show as orange, and Active policies show as green.
These colour coded visual status indicators also appear when selecting Contractors in Maintenance and Work Orders, to ensure you're aware of the Insurance Status of the selected Contractor.
Click on the policy number to view the details.
The policy details will be shown on screen including any attachments associated to that policy.
Click on the three dots icon in the top right corner to access more actions:
- Edit
- Download audit trail
- Archive
Editing or renewing a policy
If a policy is expiring and will be renewed with the same policy number, we recommend using the Edit functionality to adjust the policy expiry date.
To edit a policy click Edit from the detail screen shown above, or alternatively click the three dots icon directly on the Insurance list page, and select Edit.
The edit policy screen will appear, where all policy fields can be edited.
Please note: The policy number should be treated as a unique identifier - this should only be edited if a genuine mistake has been entered in this field.
Notes can be added, and a history of notes added will be visible.
View an Audit trail
To download an audit trail of changes made to the policy record in Re-Leased, click on the policy number, then three dots, then Download audit trail. A pdf file will download to your computer.
Archive a policy
To archive a policy, click the three dots and then Archive. The policy will then be visible in the Archived Insurance tab on the Insurance list page.
An archived policy can be restored by clicking three dots and then Restore. The policy will then return to the main Active Insurance tab.
Perform actions on multiple policies together
You can use the check boxes on the left hand side of the list to select multiple policies together. You can then use the Bulk Actions button to access the following options:
- Archive
- Download Audit
- Email reminder (see here for more information)
