Those located in Asia-Pacific and Europe will use the terms Arrears and Tenancies, where customers located in North America will use the terms Delinquency and Leases. For more information on regional terminology, please refer to this article.
The Insurance Hub is a central place to view, report on, and manage your insurance policies across your portfolio.
Currently in the Insurance Hub Supplier's Insurance and Tenant's insurance are visible. We plan to also pull in Property Insurance at some point in 2023, so watch this space!
Access the Insurance Hub from the dashboard, by clicking on the grey tile on the lower right hand side.
Viewing Policies in the Insurance Hub
Landing for the first time in the Hub you'll see an unfiltered list of all Supplier's Insurance policies. Use the Tabs at the top of the page to navigate between Supplier's Insurance and Tenant's Insurance.
You can use the Search bar on the left or click the Filters button on the right to narrow down the list that is shown on screen.
Clicking Filters will open a side panel as below. You can apply multiple filters if needed.
Managing Policy Contacts (Supplier's Insurance only)
If a policy has multiple Contacts assigned to it, this is indicated by the number next to the Contact name. Hovering your mouse on the number will show a list of all Contacts (and their Company in Re-Leased) assigned to that policy.
To add or remove contacts on a policy, click the three dots menu button on the right hand side of that policy, and click Manage policy contacts.
This will open a side panel with:
1. The existing contacts
2. An X icon to remove a contact from the policy
3. A search bar find and select more contacts to add to the policy
4. A more actions menu for that policy
5. A save button to commit changes to the policy
6. An X icon to close the side panel without saving changes
Adding new policies from the Insurance Hub
Click the Create new policy dropdown button in the top right corner, and choose Supplier's or Tenant's Insurance.
This will take you to the relevant page to create a new Insurance Policy. Please note - you'll need to define at least one Contact or Tenancy for the policy using the Add functionality at the top of the page.
Downloading reports from the Insurance Hub
From the Insurance Hub List view, click the Download as dropdown, and select PDF or CSV. The chosen file format will download to your computer.
Please Note - the downloaded report will reflect the filters applied on screen at the time the download button is clicked.
Performing Actions on single policies from the Insurance Hub
From the Insurance Hub list view, you can perform the following actions on single policies:
- Manage policy contacts (Only on Supplier's Insurance - see above)
- Edit policy
- Send email reminder
- Archive policy
To perform these actions, click the three dots menu on the relevant row, and click the required action.
Performing actions on multiple policies at once (Supplier's Insurance only)
Use the checkboxes on the left hand side to select as many policies as required. You can select all policies using the checkbox at the top of the column.
Click the Bulk actions button and select from Send email reminder or Archive policies.
Sending reminder emails in bulk
After selecting policies and clicking the bulk email reminder button, a screen will pop up so you can confirm the correct contacts and email addresses for each policy reminder that will be sent.
If a policy has multiple contacts, you can use the dropdown selector to select which contact should receive the email.
If a Contact has no email address loaded, you can type on this screen to add it.
If you wish to remove a selected policy from this bulk email, click the X icon on the right hand edge.
Click Continue to proceed.
On the following screen, use the dropdown selector to choose which correspondence template you wish to use. A preview of the email content will appear.
Click the Email insurance reminders button to send the emails.
Archiving policies in bulk
After selecting policies and clicking the Archive policies button, a screen will pop up so you can confirm you wish to proceed. If you click Archive, all selected policies will be archived.
